POSITION: Administrative Assistant

REPORTS TO: Executive Director

 PURPOSE: The Administrative Assistant provides primary support to the Board of Trustees and the General Board, assists the Executive Director in Board relationships, and supports the Executive Director through a variety of other organizational activities and office tasks, including document preparation, storage and retrieval, and maintenance of an organized, welcoming environment. The Administrative Assistant plays a key public relations role for the organization, as the frequent first point of contact with key stakeholders and newcomers, alike.

 SPECIFIC DUTIES AND RESPONSIBILITIES:

 Support General Board and Board of Trustees

  • Provides comprehensive support for Boards and their committees, including collecting or creating correspondence, agendas, minutes, supporting documentation, orientation materials, etc., distributing and maintaining complete paper and electronic file copies of all.
  • Prepares annual program report, from materials provided by managers.
  • Ensures accuracy of contact information, Board and committee lists, together with data base manager.

Provide Administrative Support to Executive Director

  • Support for staff, committee, Board and other meetings and functions, such as agendas, minutes, report preparation, arrangements, communications/mailings, etc. Creates documents. Assists with material preparation, distribution, and paper and electronic filing. Exercises judgment in setting priorities.
  • Maintains and manages calendar for Executive Director. Prepares daily schedule and supporting materials; assists with daily follow-up.
  • Supports Director of Human Resources in management of employment application process.
  • May serve as staff support to the Administrative Team, with responsibility for agenda, minutes, materials collection, notification of members, etc.
  • Collects and responds to mail and phone messages as requested; may research or develop responses.
  • Maintains strict confidentiality on personnel and other confidential areas of work.
  • Assists with travel arrangements, as needed.
  • Maintains tidy and welcoming reception and office areas in Director’s suite.

General

  • Initiates improvements in office procedures.
  • Welcomes visitors and maintains hospitable atmosphere in office, on campus, or in phone or electronic communication.
  • Other duties as requested.

DESIRED QUALIFICATIONS:

  • Excellent organizational, interpersonal, writing and telephone skills.
  • Demonstrated experience in administrative support of an individual or group.
  • Proficiency with computer programs, particularly Microsoft Word and Excel.
  • Well organized, with an eye for details while maintaining an overall perspective. Attention to consistency and accuracy within a diverse set of tasks essential.
  • Good judgment and discretion required in handling of confidential or sensitive matters. Ability to maintain confidentiality and professional manner.
  • Willingness to do routine work, to meet deadlines, and to work under pressure of deadline on occasion.
  • Self-confidence and ability to work with minimal supervision.
  • Familiarity and unity with the principles of the Religious Society of Friends. Membership preferred. A Spirit-centered approach to work and service.

TIME EXPECTATION

This is a full-time, exempt job. The Pendle Hill work week is 40 hours, which may include daily/weekly community work and worship. Occasional evening and weekend work will be required.

POSITION: Cook

REPORTS TO: Head Cook

PURPOSE

Pendle Hill cooks share the responsibility for planning and cooking three meals a day, year round, for a resident community, which varies in size from approximately 30 to 120 persons. The cooks also prepare meals for our Conference Center groups (15 to 35 persons) on most weekends and some weekdays. While the Director of Operations is responsible for the long term strategy of kitchen/dining services and the Head Cook has the major responsibility for day-to-day kitchen management and supervision, all cooking staff plan and work as a team with shared responsibilities.

DUTIES AND RESPONSIBILITIES

  1. Plans and prepares meals including service and clean up.
  2. Assists in kitchen management.
  3. Shares responsibility for quality control with the other cooks.
  4. Does some ordering and receiving.
  5. Shares oversight of organization and maintenance of kitchen and storerooms.
  6. Trains and supervises student helpers and interns.
  7. Formulates, reviews and maintains kitchen policies in cooperation with the Director of Operations and the Head Cook.
  8. Maintains standards of cleanliness.
  9. Participates in catered events.

DESIRED QUALIFICATIONS

  1. Experience in cooking for large groups.
  2. A working knowledge of nutrition is very desirable.
  3. Ability to work under pressure.
  4. Willingness to be flexible.
  5. Ability to work with a wide range of people (staff, students and volunteers).
  6. Openness to and tolerance of a wide range of spiritual beliefs and experiences.
  7. A desire to work in community is necessary. An individual’s own abilities, interest, and vision may all find expression at Pendle Hill.
  8. An understanding that cooking and serving can be approached with love both for the food prepared and for those served, as well as with joy for one’s own contribution to the process.
  9. Willingness to work irregular weekly and weekend hours.

TIME EXPECTATIONS :

This is a full-time, non-exempt, position. It requires irregular weekly and weekend hours. Residence on campus (in community) may be available; living off-campus is also an option. All staff are invited to attend daily Meeting for Worship as part of their work hours.

NATURE OF COOKING

Pendle Hill uses natural fresh foods extensively, including produce from our own organic garden in season. Entrees are rotated to include fish, fowl, meat, and vegetarian dishes. About half of the meals are meatless. A vegan option is always prepared for each meal for those community members (typically 25-30%) who are vegetarians and vegans. We try to promote good health and a sense of well-being by serving meals that are nutritionally balanced, using a limited amount of processed foods, cooking from “scratch” as much as possible. Position: Database Coordinator

Reports to: Director, Development and Outreach

Purpose:

Manages database and provides support for staff requiring database information for their work; primarily for Development and secondarily for Marketing and other functions. Instructs and oversees use of database by others.

Duties and responsibilities:

1) Development Office assistance

  • manage donor/gift records including processing gifts and reconciling with business office, receipting gifts and producing acknowledgments to donors
  • organize mail appeals several times a year including supervising volunteer crews if needed
  • provide database information for telephone solicitation as needed
  • prepare and distribute a variety of development reports as needed
  • maintain accurate and complete donor and prospect files
  • support grant seeking efforts as assigned
  • assist with planning of donor visitation and development events as needed; assist with follow-up data and reports as assigned
  • type, proofread and mail correspondence as assigned
  • compose drafts of letters and other written material as requested
  • collect and respond as needed to mail and telephone inquiries for development staff when they are out of the office
  • maintain records of Board Development Committee , including distributing agendas, minutes and reports
  • assist Director of Development and Outreach and Development Manager with other office tasks as assigned
  • maintain general and up to date knowledge of all Pendle Hill programs and activities

2) Database Management

  • maintain integrity of database and implement regular system updates
  • train and monitor work of database users; oversee data entry by others
  • maintain database procedures instructions and user manuals
  • respond to requests for database information from promotional team (mailing lists, mailing labels, analytical reports, etc.) as scheduled for the year
  • do data entry as needed, including entering new constituencies and prospects from campus visitors, sojourners and development trips and address changes from returned mail

3) Central organizational support

  • serve as part of back up team for the receptionist, answering general calls to Pendle Hill
  • maintain company phone directory

 Desired qualifications:

  • Excellent organizational, interpersonal, and writing skills.
  • Proficiency with computer programs, particularly Microsoft Word and Excel, and Raiser’s Edge or ability to learn it.
  • Attention to detail and accuracy of extreme importance.
  • Excellent person-to-person and telephone skills.

Position: Development Manager

Reports to: Director, Development and Outreach

Purpose:

The Development Manager works closely with the Director of Development and Outreach to plan and implement a comprehensive development program for Pendle Hill. The Development Manager is directly responsible for the preparation and management of mail appeals and donor communication programs, grant research and writing, and oversight of Raiser’s Edge, our development and constituent database program. The Development Manager will help coordinate small fund raising-related special events on and off campus. The Development Manager supervises the Database Coordinator.

Duties and responsibilities:

  • work with Director of Development and Outreach to plan and implement overall Development strategy and program
  • plan, coordinate, schedule and implement the annual giving program including developing concept with Director of Development and Outreach, copywriting, working with graphic design and printing vendors, working with Database Coordinator to determine mailing lists, coordinating with web manager for online presence and e-mail contact, planning for acknowledgement letters, and report on results
  • coordinate phone and other solicitation/follow up by volunteers and solicit donors by phone or e-mail as needed
  • coordinate grant requests including researching funding sources, working with program staff and others to develop grant proposals, writing grants and reports, developing relationships and scheduling appropriate contacts with foundations, ensuring grant deadlines and provisions are met
  • help coordinate fundraising special events including on campus receptions and other events and off-campus house parties and other events as needed
  • participate with Director of Development and Outreach and marketing and IT staff to develop and implement an e-marketing program at Pendle Hill
  • supervise the work of the Database Coordinator insuring proper and accurate recording and analysis of data, generation of reports and training of other users on Raiser’s Edge
  • contribute to the development and implementation of a coordinated and unified Development and Outreach strategy and plan working as a team with the communications and admissions and recruitment

Desired qualifications:

  • at least two years experience working in a Development office
  • experience coordinating an annual giving campaign or direct marketing effort, involving mail appeals and phone solicitations
  • excellent writing skills with experience in writing annual appeals and grant proposals
  • experience and skills using a donor database and spread sheet and word processing software
  • experience with e-mail and online marketing
  • ability to work well independently and also cooperatively with other staff, board, and volunteers
  • ability to set goals and achieve them and to track, document, and share results with team members
  • skills in project management with attention to details
  • supervisory experience
  • broad knowledge of the Religious Society of Friends preferred

 Time Expectation:

This is a full-time, exempt, position. All staff at Pendle Hill spend a few work hours each week contributing to the community through meal-time, housekeeping or maintenance work. In addition all staff are invited to attend daily Meeting for Worship as part of their work hours. Occasional evening and weekend work will be required.

Compensation and benefits:

Compensation includes cash salary plus housing on campus (depending on housing requirements and availability) or a housing allowance and benefits including medical and dental insurance, retirement, paid vacation days and paid holidays.

Position: Full-time Maintenance Worker

Reports to: Director of Buildings and Grounds

The maintenance department is seeking a full time, residential staff person. This is a 40 hour per week position on a team of three. Additional on-call duty covering some nights and weekends is shared among the team. Together we are responsible for the maintenance and improvement of Pendle Hill’s buildings, grounds, and equipment.

Qualifications: We seek candidates with professional hands-on experience in at least some of the following areas and familiarity with others: plumbing, heating, and electrical systems; appliance and furniture repair; energy conservation; painting; mechanical equipment maintenance; carpentry; and preventive maintenance. A desire to learn new skills and an appreciation of Quaker worship and ways of working are desirable. A positive attitude towards long-range and ecologically sound planning is also desirable. The maintenance person is expected to take initiative in areas of competence and provide leadership in the student work program. In keeping with the spirit of Pendle Hill s/he should, ideally, have an ability to work easily with people and to relate in a sensitive and open manner. A sense of humor will of course be a helpful component of the tool box!

Salary and Benefits: Pendle Hill regular full-time staff members are appointed for one- year periods. We receive a modest cash salary and the following benefits: on-campus living quarters and meals; 20 paid vacation days and 10 paid holidays per year; group medical and dental insurance; and other benefits as described in the staff handbook.

Position: Hospitality/Housekeeping Intern

Reports to: Interim Director of Operations or designee

PURPOSE: The Hospitality/Housekeeping Intern works with Pendle Hill’s regular staff to provide a hospitable, safe, clean, and comfortable environment for a retreat center and residential community ranging in size from 30-100 persons.

DESIRED QUALIFICATIONS INCLUDE:

  • Interest in hospitality and housekeeping work. Some experience preferred. Ability to request guidance when needed.
  • Ability to articulate a welcoming, Spirit-centered, approach to daily activity.
  • High energy and ability to lift 35 pounds. Able to be on feet 2 hours at a time, to mop large floors, to set tables and serve meals for 60 or more people, to bend and lift large heavy pots from a sink, to carry racks of dishes with 18 dinner plates, and to work in 90 degree weather.
  • Willingness to use household cleaners and disinfectants, to vacuum and dust, to clean bathrooms, and to wash and fold laundry.
  • Capable of self-direction and independent completion of assigned tasks.
  • Desire to live in a community concerned with stewardship of the natural world and shared responsibility for daily life. Ability to work well with others.
  • Flexibility and openness to changes in routine and to varied personalities.
  • A Spirit-centered approach to work and service. Familiarity and accord with the Religious Society of Friends desirable.

 SPECIFIC DUTIES may include:

  • Cleaning and up-keep of individual rooms, public spaces, and furnishings of a campus with 16 buildings and varying guest/resident population of 30–100 individuals.
  • Welcoming and orienting guests; set-up and break-down of household and conference refreshment venues.
  • Other duties as assigned by coordinator.

TIME EXPECTATIONS: Hospitality/Housekeeping interns work a 35 hour work week, with 30 hours assigned to the primary responsibilities and about 5 hours per week allocated for daily/weekly community work which supports the “household” at Pendle Hill. This work requires weekend and holiday duty and irregular daily hours with two days off each week.

The position will be held open until filled. The position could start as soon as April 1, 2008 and will end on August 30, 2008 with a potential for renewal as a 1-2 year internship.

COMPENSATION AND BENEFITS:

Stipend: Interns receive a monthly stipend of $550.

Room and Board: Pendle Hill will provide a single room on campus and three meals a day.

Residence is required.

Holidays : This job often requires holiday work. Alternate time off will be arranged with the supervisor.
