Guest Expectations in COVID-19 Mitigation FAQ

The questions and answers below refer to our three different guest-types:

  • Sojourner – someone who comes to Pendle Hill on a personal retreat or as a bed and breakfast guest. Reservations for your room and meals are made individually through phone and e-mail contact with Pendle Hill staff.
  • Education participant – someone who attends a Pendle Hill Education program. Registration typically occurs through the Pendle Hill website. The program has a specific date and theme.
  • Conference guest – someone who attends an event at Pendle Hill that is planned by an organization different from Pendle Hill. Registration occurs through this outside organization.

Vaccination

1. I’m fully vaccinated. How do I submit proof of full vaccination?
To submit proof of vaccination, you will e-mail either a photo or a pdf of your vaccination card.

  • If you are a sojourner, this e-mail will go to info@pendlehill.org.
  • If you are coming as a Pendle Hill Education program participant, e-mail registration@pendlehill.org.
  • If you are coming with a conference group or organization, you are required to e-mail this to your leader or group coordinator.

Please note: all guests of Pendle Hill are required to complete a waiver within 24 hours of coming to campus; this waiver includes an affirmation that proof of vaccination has been provided by e-mail; therefore, please e-mail this proof before completing the waiver. See below for more about the waiver.

2. If I want to return to Pendle Hill later, will I have to re-submit proof of full vaccination?
If you are a sojourner or a Pendle Hill Education program participant, Pendle Hill will note your vaccination status in our secure database, which is kept private to select individuals among the Pendle Hill staff. This information will allow you to return to campus while your vaccination remains valid without having to resubmit proof of vaccination. Conference group participants will submit proof of full vaccination to their group coordinator and may need to submit it each time before returning to Pendle Hill.

3. Can my vaccine ineligible child (4 years old or younger) come with me to Pendle Hill?
Children who are 4 years old or younger are not currently eligible for a COVID vaccine. They may accompany a fully vaccinated parent to Pendle Hill, however, those children who are at least 2 years old are required to have negative results of a PCR test taken within 48 hours of arrival.

4. What do you mean by “fully vaccinated”?
At Pendle Hill at this time, “fully vaccinated” means two weeks past the second shot of an MRNA vaccine (Pfizer or Moderna) or two weeks after receiving the single shot of the Johnson & Johnson vaccine.

5. I’m eligible for a booster shot – am I required to get that in order to be considered “fully vaccinated” by Pendle Hill?
At this time those who are eligible for booster shots are not required to have them in order to be guests at Pendle Hill.

6. I have a valid medical exemption for the COVID-19 vaccine. Am I still allowed on campus?
Those with a medical exemption certified by a licensed physician are welcome on campus given certain conditions. In advance of arriving on campus, they must:

  • provide proof of their medical exemption certified by a licensed physician and,
  • provide the results of a negative PCR test taken within 48 hours of arriving on campus.

Waiver and Screening

7. How do I fill out the pre-screening and waiver form?
This online form will be e-mailed to you a few days before your anticipated arrival on campus. Please complete it within 24 hours of your arrival. As a last resort, those who do not receive the e-mail or do not have access to e-mail in that time period will be required to complete a paper waiver and screening form upon arrival on campus.

  • If you are a sojourner, look for an e-mail from info@pendlehill.org.
  • If you are coming as a Pendle Hill Education program participant, look for an e-mail from registration@pendlehill.org.
  • If you are coming with a conference group or organization, look for an e-mail from your leader or group coordinator.

8. What will be asked of me in the Waiver and Screening form?
The waiver and pre-arrival screening is to be completed before arriving on campus and within 24 hours of your arrival on campus. It collects a variety of information and asks guests to affirm agreement to a number of conditions including but not limited to:

  • It collects contact information for all guests in a way that would be useful to any necessary contact tracing.
  • It asks for affirmation that you have provided proof of full vaccination. (See FAQ #1 for more information about how to do this.)
  • It asks if you have COVID or symptoms of COVID, have been exposed to COVID, or are waiting on the results of a COVID test.
    • Note: if you report symptoms of COVID on the waiver, you may be contacted by a staff person (and/or your group leader, if you are coming with an organization or conference group) to evaluate risk and explore options. You may be asked not to come to campus.
    • Note: if you test positive for COVID at any point within 14 days of your planned arrival on campus, you are asked not to come to Pendle Hill.
  • It asks for affirmation that guests will release and hold harmless Pendle Hill from liability arising from damages related to COVID-19.
  • It asks for affirmation that guests will cooperate with a variety of COVID-19 safety measures that are in place on campus or that may be put in place.
  • It requires contact information for an emergency contact person who has agreed to be responsible to help make arrangements (transportation, medical care, etc.) for the guest, should they become too sick from COVID-19 to make these arrangements for themselves.
